Administrator, Retail Lending Operations (Fixed‑Term 18 Months)
**Role Summary**
Support the Retail Lending portfolio by managing loan documentation, disbursements, payouts, and securities to safeguard the organization’s credit exposure. Deliver high‑quality customer service to branch staff, internal stakeholders, and external partners while ensuring compliance with lending policies and risk controls.

- Maintain meticulous attention to detail and uphold risk‑management standards.
- Communicate proactively with branch managers, directors, and external agencies.

**Key Responsibilities**
*Administrative Duties*
- Advance mortgages to law firms and customer accounts; disburse, pay out existing loans, and provide confirmation receipts.
- Produce mortgage payout statements including penalty calculations, and consistently verify securities.
- Dispose of and discharge mortgages and personal securities; manage loan insurance product adjustments.
- Prepare and process loan renewals, documentation verification, and term updates.
- Maintain Letters of Credit, manage amendments and cancellations.
- Reconcile CMHC, Genworth, HPO, and Ticklers monthly; produce related reports and support small projects.
- Verify legal packages from law firms and loan files required for Credit Risk Review.
*Change & Process Management*
- Stay current with lending policy updates, procedures, and technology changes.
- Identify opportunities for improvement; propose and implement new procedures.
- Serve as a change‑management resource for branch staff and cross‑functional teams.
*Customer Focus*
- Provide professional, friendly support to internal and external customers.
- Resolve inquiries and issues promptly, escalating when necessary.
- Offer alternative solutions to enhance the service experience and follow‑up to ensure satisfaction.
*Operations & Compliance*
- Review loan applications and supporting documentation for compliance with lending policies and security requirements.
- Track application packages and enforce corporate follow‑up protocols.
- Maintain consistency in policy application across the portfolio.
**Required Skills**
- In‑depth knowledge of Canadian retail mortgage/lending policies, CMHC, Genworth, HPO, Letters of Credit, and insurance products.
- Strong documentation and data‑verification skills.
- Proficiency in reconciliation and reporting.
- Excellent written and verbal communication; customer‑service orientation.
- Detail‑oriented, analytical mindset, and risk‑awareness.
- Ability to work independently and as part of cross‑functional teams.
- Adaptability to changing priorities and continuous improvement.
**Required Education & Certifications**
- College diploma or equivalent in Business Administration, Finance, or related field.
- Relevant certification in Mortgage Operations or Lending (e.g., CBA/ABCF, CMF) preferred but not mandatory.
