Job Description
Job title: Service Administrator – Bank/Flexi Contract Role Summary: Organise and manage patient referrals and day‑surgery appointments in a busy NHS setting. Work across ERS, Maxims, Medisight and PISCES tools to maintain accurate clinical data, ensure timely clinical sign‑off and optimise capacity utilisation. Provide front‑line reception support, handle switchboard duties, and collaborate with multidisciplinary teams to deliver a high‑quality patient experience. Expactations: - Deliver patient‑centred care with accuracy and professionalism. - Meet contractual and KPI deadlines, including 18‑week breach monitoring. - Maintain confidentiality and comply with Health & Safety, Data Protection and mandatory training. Key Responsibilities: - Process referrals within contractual timeframes and secure clinical sign‑off 24 hrs before booking. - Manage appointment bookings via ERS and Maxims; confirm with patients by phone and issue appointment slips. - Support reception duties: patient check‑in, switchboard handling, filing and archiving. - Input and maintain accurate clinical data across Maxims, Medisight and ERS. - Monitor capacity using the PISCES tool to maximise appointment utilisation. - Identify and address potential 18‑week breaches, daily DNA and rejection rates; propose improvements to reduce non‑attendance. - Cross‑cover within the administration team as required. - Communicate professionally with diagnostic, nursing and management staff. Required Skills: - Excellent organisational and multitasking abilities; strong attention to detail. - Outstanding customer‑service orientation and patient‑focused approach. - Proficiency with IT systems (ERS, Maxims, Medisight, PISCES); confident data entry. - Ability to prioritise workload, meet tight deadlines, and work independently or in a multidisciplinary team. - Strong verbal communication, proactive mindset, and commitment to confidentiality and compliance. Required Education & Certifications: - High school diploma or equivalent. - Successful completion of Health & Safety and Data Protection training.
