About The Role

We’re looking for an organised, proactive and compassionate Service Administrator to ensure patients receive timely treatment within contractual and clinical timeframes. If accuracy, customer service and teamwork are your strengths, and you are looking for the flexibility of a bank contract to choose hours that work around your current commitments, this could be the perfect opportunity for you.

As a Service Administrator within our Day Surgery Administration Team, you will provide a comprehensive scheduling service, overseeing appointment bookings both over the phone and face to face. Working flexibly Monday to Saturday, you’ll ensure patients are managed efficiently from referral through to appointment confirmation, always maintaining the highest standards of professionalism, accuracy and care.

You’ll be central to ensuring services run smoothly, supporting reception areas, processing referrals within strict timeframes, and helping the team meet key performance targets — all while delivering an exceptional patient experience.

What you'll be doing

Processing patient referrals accurately and within contractual requirements
Managing appointment bookings via ERS and Maxims systems
Ensuring clinical sign-off of referrals within 24 hours prior to booking
Contacting patients courteously by telephone to arrange appointments and issuing confirmations
Supporting reception duties including patient check-in, switchboard handling, filing and archiving
Inputting and maintaining accurate clinical data across Maxims, Medisight and ERS systems
Monitoring capacity using the PISCES tool to maximise appointment utilisation
Highlighting potential 18-week breaches in line with KPIs and policy
Managing DNAs and rejections daily, proactively identifying ways to reduce non-attendance
Cross-covering within the administration team as required
Communicating professionally with multidisciplinary teams including diagnostic, nursing and management colleagues
Complying with Health & Safety, Data Protection and mandatory training requirements
