Job title: Office Manager / Executive Assistant to President
Role Summary:
Provide comprehensive administrative and operational support to the President, overseeing executive scheduling, office systems, client coordination, travel logistics, and project assistance. Promote efficiency, professionalism, and confidentiality across all internal and external interactions.

Key Responsibilities:
- Manage the President’s electronic and physical calendar, including scheduling, virtual meetings, and travel arrangements.
- Handle email triage, draft responses, and maintain a clear workflow for correspondence.
- Draft documents, reports, and research materials for client and new‑business presentations.
- Coordinate client meetings, event attendance, and press activations.
- Maintain and update databases, address books, and filing systems (Google Drive, etc.).
- Oversee office technology assets, liaise with third‑party IT service providers, and resolve issues.
- Procure and manage office supplies, inventory, and equipment.
- Draft and execute contractual agreements, collaborate with legal on new client contracts.
- Support HR partner on onboarding, exit procedures, and other HR documentation.
- Manage office facilities, liaise with landlords/building management on requirements and payments.
- Uphold health and safety protocols across the organization.
- Represent the agency professionally at meetings, events, and media interactions.
Required Skills:
- Advanced calendar and email management.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and data analytics tools.
- Excellent written and verbal communication.
- Strong research, data analysis, and presentation skills.
- Ability to coordinate logistics and travel for executives and clients.
- Vendor and IT services coordination.

Required Education & Certifications:
- Relevant higher education or equivalent professional experience in office administration.
