Job Description
**Job Title** Practice Assistant – Contract (6 months) **Role Summary** Deliver comprehensive administrative support within the Secretarial Services Team, managing digital workflows, document handling, client intake, billing, travel, logistics, and communication for Associates, Trainees, and other practice staff. **Expectations** - Consistently meet or exceed service‑level agreements. - Maintain high‑quality, accurate outputs and confidential handling of information. - Act proactively, suggest process improvements, and serve as a mentor to junior staff. - Adapt to changing priorities and technologies, embracing continuous improvement. **Key Responsibilities** - Efficiently navigate and utilize the Service Now portal. - Build and coordinate relationships with center‑based services, BM secretaries, and cross‑functional teams. - Prepare urgent documents, manage inbound/outbound mail, and upload to iManage. - Print/scan, prepare courier packages, and support hard‑copy filing. - Assist client intake, engagement letters, and billing procedures. - Arrange travel via the firm’s travel agency. - Answer calls, manage inboxes, diaries, and scheduling. - Coordinate logistics for external and internal meetings; leverage GAS. - Engage directly with clients and their assistants. - Liaise with courts to develop accurate court documentation/bundles. - Update Outlook contact lists. - Identify and recommend workflow enhancements. - Undertake specific practice‑group tasks to build practice knowledge. **Required Skills** - Secretarial experience in Real Estate/Property practices. - Proficiency with cloud‑based digital workflows; Service Now experience preferred. - Strong prioritisation and SLA‑management skills. - Experience with quality management systems and peer review. - Advanced Microsoft Office (Word, Excel, Outlook, PowerPoint, Access, Teams) competencies. - Excellent written and verbal communication. - “Can‑do” proactive attitude; teamwork orientation. - Ability to mentor and support junior staff. - Adaptability to change and challenge. - Knowledge of billing and intake procedures (desired). **Required Education & Certifications** - Bachelor’s degree or comparable post‑secondary qualification (preferred). - Relevant certifications in Microsoft Office Suite or Service Now are advantageous.
