Job Description
Job title: Virtual File Clerk Role Summary: Maintain, index, and manage digital records for a high‑volume live‑events entertainment company. Organize cloud‑based folders, apply consistent naming and versioning, ingest and OCR documents, and ensure accurate metadata for fast retrieval. Collaborate with production, legal, and finance teams on document requests, audits, and archival workflows. Expectations: - Deliver precise data entry and document processing with minimal errors. - Meet deadlines on daily, weekly, and audit‑related tasks. - Uphold confidentiality and compliance standards in all records activities. - Continuously improve filing practices and streamline workflows. Key Responsibilities: - Build and enforce folder structures and naming conventions in Google Drive, SharePoint, Box, or other cloud platforms. - Scan, OCR, and index contracts, releases, invoices, and creative assets in the DMS with correct metadata tags. - Perform quality checks, version control, and accuracy audits of stored documents. - Manage retention, deletion, and transfer workflows in line with company policy. - Prepare and secure shared records for stakeholders and external partners. - Respond to ad‑hoc requests from production, legal, and finance departments. - Support audit preparation and documentation of records processes. Required Skills: - Proven experience with cloud storage and collaboration platforms (Google Drive, Microsoft SharePoint, Box). - Hands‑on use of document management systems and digital filing best practices. - Proficiency with PDF tools and OCR workflows (Adobe Acrobat Pro, ABBYY, etc.). - Strong data entry accuracy and advanced MS Excel skills (filters, sorting, basic formulas). - Ability to tag documents with metadata for quick retrieval. - Knowledge of records retention, version control, and compliance basics. Required Education & Certifications: - High school diploma or equivalent (post‑secondary education preferred). - Certification or proven proficiency in Adobe Acrobat Pro or equivalent PDF/OCR tools is a plus.
