Industry & Sector: Entertainment — Live Events & Talent Management. High-volume, fast-paced digital operations that support production, contracts, and creative assets across remote teams. This role supports distributed event production, talent records, contracts, and marketing collateral in a secure, cloud-first environment.

Primary Title: Remote Records Clerk

Role & Responsibilities

Maintain and organize digital records: create consistent folder structures, apply naming conventions, and enforce version control across cloud repositories.
Ingest, scan, and index incoming documents (contracts, talent releases, invoices, creative assets) into the Document Management System with accurate metadata tagging.
Perform accurate data entry and quality checks to ensure document completeness, correct indexing, and retrievability on demand.
Use OCR and PDF tools to convert, clean, and optimize scanned documents for search and archival purposes.
Manage retention and archival workflows: mark records for retention, flag for deletion or transfer per policy, and prepare records for secure sharing with stakeholders.
Collaborate with production, legal, and finance teams to fulfill document requests, support audits, and respond to ad-hoc records inquiries.

Skills & Qualifications

Must-Have

Proven experience with cloud storage and collaboration platforms (Google Drive, Microsoft SharePoint, or Box).
Hands-on use of Document Management Systems and digital filing best practices.
Proficiency with PDF tooling and OCR workflows (e.g., Adobe Acrobat Pro, ABBYY or equivalent).
Strong data entry accuracy and familiarity with MS Excel (filters, sorting, basic formulas).
Experience with document scanning, indexing, and metadata tagging for quick retrieval.
Understanding of records retention, version control, and basic compliance practices.

Preferred

Prior experience supporting entertainment, media, or event-production teams.
Familiarity with specialized DMS platforms (e.g., DocuWare, Laserfiche) or workflow automation tools.
Experience handling contracts, talent releases, or financial documentation in a corporate setting.
