Job Description
**Job Title**: Management Assistant – Internship/Apprenticeship (Administrative) **Role Summary**: Assists senior management in all administrative and financial duties within a dynamic, startup-like environment. Functions as a pivotal support role, ensuring accurate invoicing, expense processing, document management, and HR administrative tasks. Works autonomously while collaborating closely with founders, business unit leaders, and consultants. **Expectations**: - Operate independently and proactively. - Maintain high levels of accuracy and confidentiality. - Demonstrate adaptability and strong customer‑service orientation. - Meet deadlines and manage multiple priorities efficiently. **Key Responsibilities**: 1. **Administrative & Financial** - Process client and supplier invoices. - Track receivables and payables; follow up on overdue payments. - Prepare and organize documents for the accounting firm. - Review, verify, and record employee expense reports. 2. **Secretarial & Documentation** - Digitize, file, and archive documents. - Draft and send correspondence. - Handle incoming calls and direct them appropriately. - Monitor supply inventories and distribute office materials. 3. **Human Resources Support** - Manage administrative logistics for employee onboarding and exit processes. - Transmit variable payroll information to payroll service. - Monitor employee health insurance administration. **Required Skills**: - Exceptional organizational and meticulousness. - Self‑motivated, reactive, autonomous, and versatile. - Strong adaptability and customer‑service mindset. - Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint). - Desirable: familiarity with Office 365, SharePoint, and Windows system configuration. **Required Education & Certifications**: - BTS (or equivalent) in Management Assistance, Management Office Support, or similar. - Current enrollment or recent completion of the program. - Internship or apprenticeship experience preferred.
