We are seeking a detail-oriented and strategic Events Coordinator to join our marketing team, reporting to the Director of Marketing. This role will be responsible for planning, executing, and managing all company events, including trade shows, conferences, webinars, and corporate events. You will also play a key role in shaping event strategy to drive brand awareness, customer engagement, and measurable pipeline impact. The ideal candidate will have strong organizational skills, vendor management experience, and the ability to create memorable experiences that drive business objectives.

As our Events Coordinator, you’ll support HID’s success by:
Event Planning and Execution
Planning and executing trade shows, conferences, webinars, and corporate events from conception to completion
Managing event logistics including venue selection, vendor relationships, booth design, promotional materials, shipping, and staff coordination
Developing and owning an annual event marketing plan aligned to business goals, target audiences, and sales priorities.
Developing event timelines, budgets, and project plans to ensure successful execution
Partnering with Sales and Marketing Leadership to define event objectives, KPIs, and success metrics.
Developing and maintaining a detailed events calendar for internal stakeholders
Coordinating pre-event, during-event, and post-event communications and follow-up activities
Ensuring all events align with brand standards and marketing objectives
Delivering a seamless attendee journey and consistent brand experience across all touchpoints.
Vendor and Stakeholder Management
Managing relationships with event vendors, venues, and service providers
Coordinating with internal teams, including sales, marketing, and executive leadership, for event participation
Managing event staff scheduling, training, and on-site coordination
Overseeing event setup, execution, equipment breakdown and shipping processes
Partnering cross-functionally to align event messaging, speaking opportunities, and sponsorships with broader marketing campaigns
Event Marketing and Promotion
Developing event-specific marketing campaigns and promotional strategies in collaboration with the Marketing Manager
Creating event-related content and promotional materials
Managing event registration processes and attendee communications
Coordinating social media promotion and real-time event coverage
Managing ordering and distribution of branded promotional items
Collaborating with Creative and Digital Marketing teams to build integrated pre-, during-, and post-event campaigns that maximize engagement and lead generation
Performance Measurement and Analysis
Tracking event ROI and lead generation performance
Conducting post-event analysis and reporting on attendance, engagement, and business outcomes
Measuring pipeline influence and event contribution to sales opportunities using CRM and marketing automation tools
Gathering feedback from attendees, staff, and stakeholders to improve future events
Maintaining event database and historical performance records
Continuously testing new event formats, technologies, and partnerships to optimize performance and expand reach
Your Experience and Background include:
Bachelor's degree in Marketing, Communications, Hospitality Management, or related field
Or 2-4 years of experience in event planning, preferably in B2B or corporate environments
3+ years preferred in B2B event marketing, demand generation, or field marketing
Proven track record of successful event execution and project management
Experience with event management software and registration platforms
Experience working with CRM and marketing automation tools (Salesforce, HubSpot, or similar)
Familiarity with CRM systems for lead tracking and follow-up
Strong organizational and project management
