We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support three senior leaders. This role requires someone who thrives in a fast-paced environment, can manage competing priorities with discretion, and operates with a high level of professionalism and ownership. You will need to be based in the U.S., ideally New York City, and available during Eastern Standard Time (EST) business hours.
What you'll do:
Executive Support
Manage complex calendars across three executives, including scheduling internal and external meetings across time zones
Prioritize and coordinate shifting requests with sound judgment
Prepare meeting agendas, briefing documents, and follow-up materials
Track action items and ensure timely completion
Communication & Coordination
Serve as a liaison between executives and internal/external stakeholders
Draft, edit, and manage professional communications on behalf of leaders
Coordinate leadership meetings, off sites, and strategic planning sessions
Support cross-functional communication and alignment
Operational & Administrative Support
Process expense reports and invoices accurately and on time
Coordinate travel arrangements (domestic and international as needed)
Maintain organized documentation and filing systems
Assist with special projects and leadership initiatives
Confidentiality & Discretion
Handle sensitive information with the highest level of confidentiality
Exercise sound judgment in decision-making and issue escalation
What you'll have:
Qualifications:
5+ years of experience supporting senior leaders (preferably multiple executives)
Experience supporting C-level or VP-level executives strongly preferred
Strong calendar management experience in a high-growth or fast-paced environment
Exceptional written and verbal communication skills
Highly organized with strong attention to detail
Proactive problem-solver with the ability to anticipate needs
Proficiency in Google Workspace and/or Microsoft Office Suite
Experience with expense management and travel booking systems
