With a staff of 14,000, the TCDSB is a dynamic school board and is seeking an 18 month contract position for an Administrative Assistant-HR within the Human Resources department.

Key Accountabilities

Reporting to the Coordinator, Return to Work, the primary purpose of this job is to provide administrative support to the assigned department, for special projects, preparing reports, completing forms and responding to enquiries. The Administrative Assistant will be required to perform additional responsibilities specific to the area of responsibility, as well as other related duties as assigned.

Prepare and edit correspondence, reports and documentation related to HR matters
Maintain HR systems, update employee records, and manage confidential files
Support the process of applying grid increments
Investigate, complete and follow up on required information as needed
Respond to general HR enquiries effectively and relay messages to relevant stakeholders when needed
Coordinate the flow of information internally and with other departments and organizations
Maintain confidentiality of all documents
Maintain files and follow-up systems, utilizing established formats or creating new formats/setups as required
Maintain and update data, generate reports and related analysis pertaining to the assigned area, etc.
Back up duties and responsibilities for other staff when needed
Complete assigned work according to various deadlines
Compile data, statistics and other information to support research activities
May train other office staff in procedures and in use of current software
Perform other duties as assigned to support the HR Operations teams and contribute to the overall HR department goals

REQUIREMENTS:

Two-year College Diploma in Human Resources/related discipline, or equivalent combination of education and experience
Minimum of one (1) year experience in Human Resources or related environment, preferably with a unionized, public sector employer
Proficiency in Microsoft Office Suite e.g. Outlook, MS Excel, Word, Access and PowerPoint, (skills assessment testing will be required for qualified applicants if previous testing was not performed)
Proven analytical skills
HRIS system experience, preferably HR Success Factors
Excellent organizational skills
Demonstrated ability to balance multiple tasks with competing deadlines, while prioritizing daily and weekly activities and projects on-demand, in a very busy environment with constant demands and interruptions
Excellent communication skills working with all levels of the organization and the ability to facilitate confidential matters
Proven ability to work independently with minimal supervision
Flexibility to work overtime as required to meet the department's needs
