Job Summary

Reporting to the Lead, Health and Safety, the Health and Safety Assistant provides administrative, coordination, and data-support services to the Corporate Health and Safety team. This role supports the effective delivery of health and safety programs across the organization by assisting with WSIB claims processing, training coordination, medical surveillance administration, committee support, metrics, and general program administration.

Duties & Responsibilities

Provide administrative support for WSIB claims processing, including file setup, documentation tracking, correspondence support, and coordination with stakeholders.
Responsible for managing WSIB invoicing and cost statements.
Coordinate and support health and safety training, including scheduling, tracking completion, and responding to training-related inquiries.
Administer medical surveillance programs, including scheduling, tracking participation, and supporting follow-up requirements.
Provide logistical and administrative support for Health & Safety Week initiatives, including coordination of materials, communications, and events.
Support Joint Health and Safety Committees (JHSCs) by assisting with meeting scheduling, agenda preparation, minutes, action tracking, and document management as required.
Monitor and manage the Health and Safety inbox, responding to routine inquiries, triaging requests, and escalating issues as appropriate.
Compile, track, and maintain health and safety metrics, statistics, and reports to support monitoring, trending, and program evaluation.
Assist with document control and maintenance of health and safety policies, procedures, and reference materials.
Provide general administrative support to the Health and Safety team, including coordination of meetings, preparation of correspondence, projects, and other related duties as assigned.

Skills & Qualifications

Post-secondary education in administration, occupational health and safety, human resources, or a related field, or an equivalent combination of education and experience.
Demonstrated experience providing administrative support in a health and safety, human resources, or regulated environment.
Knowledge of workplace health and safety and WSIB principles and related administrative processes an asset.
Strong organizational, time-management, and attention-to-detail skills.
Ability to manage multiple priorities, deadlines, and confidential information.
Proficient in Microsoft Office applications.
Strong written and verbal communication skills, with the ability to interact professionally with a wide range of stakeholders.
Ability to work independently and as part of a collaborative team.
Experience with Parklane or other health and safety management software an asset.
Experience tracking training records, metrics, or compliance-related data.
