**Job Title**
Office Manager
**Role Summary**
Own and manage day‑to‑day operations of two corporate sites, ensuring a safe, compliant, and efficient workplace. Combine facilities, EHS, administrative, IT, and fleet responsibilities to support leadership, HR, finance, and employees.
**Expectations**
- Full ownership and proactive management of site operations.
- Deliver seamless coordination across multiple departments and external suppliers.
- Drive continuous workplace improvement and employee experience.
**Key Responsibilities**
- Oversee facilities: office spaces, services, equipment, and vendor contracts (utilities, leases, maintenance, cleaning, reception).
- Coordinate suppliers and monitor service quality and compliance.
- Manage office supply inventory and operational budgets.
- Maintain EHS documentation, conduct risk assessments, and lead safety action plans.
- Organise employee medical checks, emergency training, and support internal audits.
- Process invoices, quotations, and service agreements in partnership with finance.
- Maintain administrative systems and operational documentation.
- Coordinate IT asset inventory, onboarding/offboarding device and phone line management.
- Manage company car fleet, renewals, insurance, and compliance documentation.
**Required Skills**
- 3–5 years in office or facilities management, corporate site administration, or related field.
- Proven experience contracting suppliers, managing vendors, and overseeing operational services.
- Strong financial acumen: invoice tracking, budget management, reporting.
- Excellent organisational, prioritisation and problem‑solving skills; structured, proactive approach.
- Ability to work independently and collaborate across multiple departments.
- Fluent in French; strong written and spoken English for international collaboration.
- Knowledge of EHS processes is an advantage.
**Required Education & Certifications**
- Bachelor’s degree or equivalent in Business Administration, Facilities Management, Engineering, or related field.
- Relevant professional certifications (e.g., Certified Facility Manager) preferred but not mandatory.
