Account Services Manager
Job Description
**Job Title:** Account Services Manager **Role Summary:** Manage end‑to‑end B2B order processing for wholesale customers in the beauty sector, ensuring accurate allocation, invoicing, and timely fulfillment. Act as the primary liaison between sales, operations, finance, and the 3PL/warehouse, using NetSuite and EDI tools to maintain order integrity and customer satisfaction. **Expectations:** - Own order management workflow and meet month‑end deadlines. - Maintain high standards of order accuracy, timeliness, and inventory visibility. - Proactively identify and resolve discrepancies in orders, pricing, invoices, and EDI transmissions. - Communicate effectively with internal teams and external warehouse partners. **Key Responsibilities:** - Enter and process manual and EDI orders in NetSuite; allocate inventory for fulfillment. - Coordinate pick, pack, routing, and transportation with the warehouse. - Consolidate order status data and generate weekly/monthly reports for Sales & Operations. - Monitor inventory levels, flag shortages, and suggest fulfillment opportunities. - Transmit invoices and account statements via email and EDI; reconcile any transmission errors. - Provide wholesale customers with supporting documents (BOLs, PODs, invoice copies). - Alert Finance and Sales to past‑due balances; recommend suspension or credit line adjustments. - Review, negotiate, and approve/deny chargebacks with proper documentation. - Process and track gratis, PR, marketing, and sampling requests, ensuring documentation and follow‑up. **Required Skills:** - NetSuite proficiency (order entry, reporting, EDI). - 2‑3+ years EDI order processing, invoicing, and 3PL coordination. - Strong Excel skills (VLOOKUP, pivot tables, filters, subtotals, IF/SUMIF). - Knowledge of shipping vendor management. - Excellent analytical, problem‑solving, and communication abilities. - Ability to work efficiently in a fast‑paced environment and prioritize high‑impact tasks. - Passion for the beauty industry; familiarity with Sephora is a plus. **Required Education & Certifications:** - Bachelor’s degree in Finance, Business, or related field (BA/BS). - No additional certifications required.
