Title: Speaker Event Specialist

Location: Hybrid 2 Days onsite NY

Duration: 5 Months

Pay Rate: $31/hr on W2

Other Requirements

Availability to travel to Houston, Texas for the duration of the conference.
Comfortable working under tight deadlines and managing multiple priorities simultaneously.

Key Requirements

Experience & Skills

High attention to detail and strong organizational skills to manage speaker data and logistics for 1,200+ participants.
Excellent written and verbal communication — must be professional, polished, and comfortable interacting with executives, government officials, and VIPs.
Strong customer service mindset with the ability to make decisions independently in a fast-paced, high-pressure environment.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Experience with database or registration management systems such as Cvent or RainFocus.
Ability to handle confidential information with discretion.

Key Responsibilities

Collect, input, and manage speaker information in the database management system (DMS).
Draft and edit invitation and confirmation letters for leadership approval.
Track and update speaker invitation statuses (invited, confirmed, declined).
Coordinate speaker onboarding, registration, travel, and hotel accommodations.
Proof and verify speaker data for accuracy.
Monitor and report on speaker engagement milestones.
Respond promptly to speaker inquiries via email.
Assist with onsite Green Room protocols during the event.
Prepare honorarium contracts and process related purchase requests.
