Job Title: Executive Assistant

Location: New York, NY

Job Type: 4 Months

Job Summary:
Provide daily communication, basic clerical duties, and general administrative support. Insure that pertinent operational information is conveyed within the department and to other departments as necessary. Answer heavy telephones, give information and take messages. Provide timely operational information to managers and employees.

Key Responsibilities:
• Plans, coordinates and ensures the schedules are followed and conflicts are professionally managed. Assists executives with managing and prioritizing the daily workload and adjusting for revised priorities, including preparing meeting materials and maintaining continuity of office in the executive's absence.
• Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the executive’s time and office.
• Manages travel arrangements and expense reports.
• Manages the office including, team vacation/personal day calendar, deliveries (both domestic & international), coordination of team meetings and logistics (A/V, room scheduling, etc.), ordering supplies, processing visitor passes and managing distribution lists.
• Researches, prioritizes, and follows up on incoming issues and concerns, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response and gets critical issues in front of the executives.
• Provides a bridge for smooth communication between executives and internal departments; demonstrating leadership to maintain credibility, trust and support with IT and O&T executive team members.
• Works closely and effectively with executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping executives updated.
• Provides leadership to build cross-functional and global relationships crucial to the success of the organization.
• Owns execution of assigned business projects and provides support for a variety of initiatives across the enterprise, prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
• Partners with the Business Strategy and Communications team to arrange and schedule meetings & events, including coordinating the agenda, preparing any meeting materials and handling logistics.
• Assists with creation/modification of presentations, spreadsheets, and other various documents.

Qualifications:
• 5+ Years Strong telephone etiquette, communications and organizational skills.
• Team player with exceptional interpersonal skills.
• Working knowledge of Microsoft Excel and Word.
• Bachelor’s Degree preferred.

The Executive Assistant completes a broad variety of administrative tasks including managing extremely active calendars; completing expense reports; composing and preparing confidential communications; arranging complex and detailed travel plans, itineraries, and agendas; taking detailed meeting minutes and identifying and following up on action items, managing scheduling conflicts, and keeping schedules on track.
