Job Specifications

The GS4SB Sales Administrator will play a critical role in streamlining administrative processes across Sales, Underwriting & Implementation. This role ensures timely and accurate handling of RTQs, proposal packaging, and Coordination of new sale documents. The Sales Administrator will reduce manual workload for BDMS, enabling them to focus on strategic and client-facing tasks.

Key Responsibilities

RTQ Intake & Packaging

Manage & maintain centralized RTQ email inbox.
Assist BDM when required to ensure completeness before submission to underwriting.
Liaise with advisors when required to collect missing information.

Proposal Compilation

Merge financial rate sheets, cover pages, and marketing materials into a single client-facing proposal.
Ensure formatting consistency and accuracy across documents.
Maintain version control and document tracking.

Sold Groups

Send out DocuSign, master proposal to appropriate parties (Advisor, client, etc.).
Follow up with appropriate parties (Advisor, client, etc.) for missing information.
Assist in creating summary-level plan designs for proposals when required

Administrative Support

Maintain proposal templates and RTQ checklists.
Assist in data entry, reporting, and dashboard updates. Logging quotes into the pipeline tracker.
Honeybee HSA proposals: Prepare and send proposals to clients/advisors.
Continuing Education: Issuing CE credits to Advisors
Has deep understanding of BDM role to act as support when BDMs are out of office.
New Advisor Licensing – send required documents to Advisor and collect and review for completion to be sent to Admin for processing

Qualifications

2+ years experience in group benefits, insurance, or sales operations.
Strong proficiency in Microsoft Office (Excel, Word, Outlook) and Adobe Pro.
Experience with CRM tools (e.g., HubSpot, Salesforce) is an asset.
Excellent attention to detail and organizational skills.
Strong communication and stakeholder management abilities.

Preferred Skills

Familiarity with value stream mapping and Lean principles.
Experience working with pooled carriers or TPAs.
Exposure to automation tools (e.g., RPA, OCR, Copilot) is a plus.
Technical skills: Power query, Power BI, file and mail merge, etc.

Contract Details

Type: 12-month contract (with potential for extension or permanent placement)
Location: Hybrid (Toronto HQ + remote)
