The EIB, the European Union's bank, is seeking to recruit for its Operations Directorate (OPS) at its headquarters in Luxembourg (Senior) Administrative Assistants

These are full-time positions at grade 1/2.

Panel interviews are anticipated for January-February 2026.

Purpose

Join us as a (Senior) Administrative Assistant and play a key role in supporting the Head of Division and the wider team. Your contribution will help ensure smooth operations and enhance the overall efficiency and performance of our activities.

Specific Post Environment

We are recruiting for several (Senior) Administrative Assistant positions within transactional departments of the Operations Directorate (OPS). This is an opportunity to work in a dynamic environment where your organisational skills and attention to detail will make a real impact.

Operating Network

You will report directly to the Head of Division or Head of Unit, depending on the team structure. In this role, you’ll collaborate closely with colleagues across the organisation, including teams in Legal, Risk & Compliance, and Project Directorates—building strong connections and contributing to cross-functional success.

Accountabilities

Support loan and investment officers by updating business information, organizing contacts, and coordinating the full lending or investment process—including meetings, appointments, and business trips.
Prepare briefing materials, manage documents and reports, and ensure smooth communication with clients and colleagues, even when officers are on assignment.
Maintain up-to-date project statistics and pipelines, conduct research and data presentation, and help organize meetings and conferences.
Collaborate with other team members, assist in onboarding new colleagues, and contribute to a positive, efficient team environment
Ensure adherence to procedures and effective use of digital tools.
Embrace and adapt to new technologies and digital advancements to enhance productivity.

Qualifications

Secondary level education, complemented with a 2-year certification in a relevant field (economics, accounting, legal, business administration) or secondary level education with equally qualified experience in a relevant field.
At least 3 years of experience in an administrative support role, ideally within an international organisation
Strong organisational and communication skills, with the ability to prioritise tasks, adapt to changing priorities, and work effectively in a multicultural environment.
Demonstrated ability to learn and utilise new technologies and digital tools
Some understanding of the Bank's organisational structure, processes and procedures (more particularly of lending operations) would be an advantage
Excellent knowledge of the MS Office tools (Word, Excel, Powerpoint).
Knowledge of Business Objects, the Bank's standard computer tools and lending applications would be an advantage.
Excellent knowledge of English and/or French (***), with a good command of the other. Knowledge of any other European language would be an advantage.

(***) Unless stated explicitly as a required qualification, a good command of French is not a pre-requisite for hire. As both English and French are however official working languages of the EIB, proficiency in both languages is a pre-requisite for your future career development. Any language clause in your contract must be fulfilled in order for you to be eligible for a promotion (either via the annual appraisal cycle or via an internal selection process). Proficiency is understood to mean the attainment of level 5 of the Inter Institutional language courses, corresponding to B1.2 of the Common European Framework of Reference for Languages (CEFRL). The Bank offers appropriate training support.
