Your new company

Hays Specialist Recruitment has partnered with a large company located in Toronto, ON. We are looking to hire a Executive Assistant to join their team on a contract basis of 14 months, which has the possibility of extension/ permanent.

Your new role

Provide high-level executive and operational support to the CEO, including managing schedules, correspondence, meeting preparation, and follow-up
Coordinate internal operations, ensuring smooth communication and workflow across the leadership team and broader staff
Support individual lobbying registration compliance and business development reporting obligations, including helping senior leadership track business development contacts and ensuring data integrity
Support business development processes, including managing proposals, tracking client engagements, and coordinating the approval of contracts.
Assist with financial and operational administration such as expense tracking (limited) vendor engagement, and budget coordination
Prepare internal and external materials, including presentations, reports, and briefing notes for senior management and partners at the request of the CEO
Plan and coordinate team meetings, retreats, and client events as needed

The candidate possesses the following:

5+ years of experience providing executive or operations support in a professional services, government, or political environment
Exceptional organizational skills and ability to manage multiple priorities in a fast-paced setting
Strong written and verbal communication skills, with acute attention to detail and discretion
Experience with compliance processes such as lobbying registration, business development pipelines, or legal/financial administration
High degree of professionalism and sound judgment in dealing with confidential information and senior stakeholders
Proficiency with Microsoft Office and familiarity with CRM or project management tools
Flexibility, initiative, and a collaborative mindset; thrives in a team-oriented, entrepreneurial environment
