Job Summary

As our SharePoint Project Associate, you will play an essential part in improving how we organise, manage, and use information across the People Unit. You’ll support the migration and redesign of our SharePoint site as part of the organisation wide SharePoint Improvement Project, helping us build a modern, intuitive, Copilot‑ready workspace that supports better decision making and collaboration.

This is an excellent opportunity for someone who enjoys structured work, problem solving, and improving systems better for colleagues. You’ll work closely with managers across the People Unit, as well as specialists in Knowledge & Information Management (KIM) and Digital & Data, providing hands on coordination, guidance, and support throughout the project.

Job Description

Support SharePoint content review and migration:

Audit existing SharePoint content, identifying outdated, duplicated, or redundant information.
Assist with designing and implementing a revised structure that aligns with organisational standards and KIM principles.

Coordinate Project Activity

Act as the main point of contact for People Unit colleagues throughout the migration.
Organise and track meetings, actions, and progress updates to ensure timely delivery of key milestones.

Improve Information Management Practices

Promote best practice in naming conventions, retention, disposal, and information governance.
Work with specialist teams (KIM, Digital & Data) to resolve issues and ensure compliance with organisational guidance.

Build Capability Across The People Unit

Develop user‑friendly guidance, notes, and resources to help colleagues navigate and manage the new site.
Support colleagues to understand their responsibilities for information management.

Salary

New entrants to the Civil Service are expected to start on the minimum of the pay band. Internal rules apply to existing Civil Servants, i.e. level transfers move on current salary or the pay range minimum, transfers on promotion move to new pay range minimum or receive 10% increase. Either case is determined by whichever is the highest.

This role is being advertised at Executive Officer (EO) Grade.

Working Hours

Standard working week is 37 hours, flexible working hours policy available

Part time at 30 hours or above, flexible working hours policy available

Office Attendance

This role is contractually based in Bristol, 10 minute walk from Temple Meads train station. We recognise and value the mutual benefits of hybrid working and have a flexible approach to in person attendance, which can vary dependent on the requirements of individual business units - the details of which can be discussed with candidates if invited to attend an interview.

Effective organisational skills, with the ability to manage multiple tasks and prioritise effectively.
Excellent communication skills to collaborate with colleagues, resolve problems, and explain processes clearly.
A demonstrable understanding of Microsoft 365 tools, particularly SharePoint and Teams, and how information is structured in a corporate environment.
Good attention to detail when reviewing and organising materials.
Experience working in a project or structured work environment, coordinating activity or supporting delivery.
