Job Title: ServiceNow Architect
Objective
The objective of this engagement is to secure the services of a ServiceNow Certified Master Architect (CMA) to provide expert architectural leadership for a high‑priority Canadian Armed Forces (CAF) onboarding initiative. The operational requirement is to design, validate, and guide the implementation of a secure, scalable, and compliant ServiceNow architecture that supports streamlined end‑to‑end onboarding processes for personnel. The MCA will ensure alignment with enterprise standards, and Civilian operational HR needs, and ServiceNow best practices. The end result will be a production‑ready onboarding solution that improves efficiency, reduces onboarding timelines, and enables sustainable operations and future growth.
Scope of work
The resource will provide senior architectural oversight and hands-on technical leadership for the onboarding initiative, focused on the shared use of ServiceNow HR Service Delivery (HRSD) and civilian onboarding programs.
The role is accountable for establishing and enforcing a secure, scalable HRSD architecture aligned to enterprise and ServiceNow best practices, while maintaining appropriate separation of data, processes, and compliance requirements. The resource will guide cross-project design decisions, promote reuse of shared capabilities, minimize technical debt, and support long-term platform sustainability.
Tasks
Discovery, Alignment and Requirements
Review HRSD architecture, configurations, integrations, and roadmaps.
Confirm functional and non-functional requirements.
Identify CAF-specific onboarding needs and inform reuse vs. separation strategy.
Architectural Governance & Design Authority
Establish HRSD architectural governance and review forums.
Define and enforce platform standards, guardrails, and configuration principles.
Approve designs and maintain Architecture Decision Records (ADRs).
Share HRSD Architecture and Security
Define a multi-workstream HRSD design supporting both onboarding programs.
Establish reuse vs. separation strategy for shared HRSD components.
Define security architecture, access controls, audit requirements, and segregation controls.
Data, Process & Integration Architecture
Define onboarding data models, lifecycle states, and end-to-end process flows.
Align CAF and civilian process architecture while preserving policy differences.
Define and review integration patterns and technical standards.
Implementation, Quality & Release Oversight
Guide to configuration vs. customization decisions and review solution designs.
Define testing and regression strategies for shared-module delivery.
Oversee architectural defect triage, release coordination, and change controls.
Documentation & Operational Readiness
Produce and maintain architectural artifacts and ADRs.
Define operational support inputs, ownership boundaries, and runbooks
Must Have:
Must have Secret Clearance with the Government of Canada
Must hold a ServiceNow Certified Master Architect (CMA)
Must have been responsible for an Architectural design, remediation and ongoing operational governance of at least 1 enterprise ServiceNow Deployment
Managed ServiceNow systems used across a large enterprise, not just small teams or projects.
Overseen the configuration management database (CMDB) containing a very large number of system and asset records, ensuring the data remained accurate and reliable.
Established and maintained governance processes and system health practices to ensure the platform continued to operate effectively over time.
Provided strategic advice to senior leadership on how the ServiceNow platform should evolve, how to invest in improvements, and how to manage risks affecting critical business services.
